Add notes to your Rank Tracker to capture what was happening on specific dates, so you can connect rank changes to the actions and events that drove them.
Plan availability: Notes are included on all four new plans: Starter, Professional, Team, and Agency. Compare plans and limits.
When to use this
Notes are most useful when you want to tie a rank movement to something that changed off-platform or in your listing. Common examples:
A listing change like a new main image, updated title, or revised bullet points
A PPC campaign starting, finishing, or changing budget
A price change or promotion running on certain dates
A review milestone, like a flood of new reviews or a 1-star spike
An external event like a press feature, social campaign, or seasonal peak
Notes can apply to all keywords on a project for a date or date range, or be scoped to specific keywords. This is handy for a campaign that only targeted a few terms.
Add a note
There are two ways to start a note:
From the Add Note button at the top of the Ranks tab. Use this when you're capturing something that affects all keywords, like a listing change or a site-wide promotion.
From the bottom of the table after making a selection. Tick the keywords you want the note to apply to and select the date range you want it to cover. An Add note option will appear at the bottom of the page, pre-filled with that selection. Use this for keyword-specific events like a PPC campaign on a handful of terms.
Either way, the Notes panel opens where you can:
Pick a Note Highlight colour. The colour is purely for organisation. It doesn't have any built-in meaning, but it's worth picking a convention and sticking with it (e.g. yellow for listing changes, orange for PPC campaigns, purple for price changes).
Set a From Date and To Date. For a single day you just have to enter the from date.
Add a Short Text title. This is what shows on hover, so keep it short and recognisable.
Optionally add a longer Description with more detail.
Optionally pick specific Keywords. Leave this empty to apply the note to every keyword on those dates, or pick keywords to scope the note to those rows only.
Save the note and it'll show up immediately on the rank grid as coloured highlighting on the relevant cells.
View, edit, or delete a note
Hover over any highlighted cell to see the note title and date. Click View Notes to open the full notes panel for that cell.
In the notes panel you'll see every note that applies to that cell, including its full description. Click the pencil icon to edit a note or the bin icon to delete it.
Show or hide notes
Use the Enable Notes toggle at the top of the Ranks tab to show or hide all notes on the grid. Turn it off when you want a clean view of the rank data, and turn it back on when you want the highlights back. This is just a view preference and doesn't change or delete any notes.
Tips
Pick a colour convention early and stick with it. Even a simple system (e.g. yellow for listing changes, orange for PPC, red for problems, green for wins) makes the grid much easier to read at a glance.
Add notes in real time rather than retrospectively. It's much easier to remember why something changed when you note it the day it happens.
For PPC campaigns, scope the note to the specific keywords you're advertising on. This keeps the grid readable and makes it easier to see which keywords moved because of paid spend.
Use the description field for context you'll want later, like budget amounts, ad group names, or the reason for a listing change.
